Invoices & Credit Notes

MirandaPlace generates invoices for orders and credit notes for verified refunds processed through the withdrawal and return workflow.

Documents preserve the transaction information recorded at issuance and provide downloadable files where available.

To access an invoice, go to:

Components → MirandaPlace → Sales → Orders → Open order → Invoice

Credit notes are available within the corresponding withdrawal or return case.

Invoice Creation & Numbering

Automatic Issuance
Invoice issuance is triggered after a verified payment is finalized or an eligible offline order is manually moved to a paid status.

MirandaPlace creates one invoice per order.

Repeating the issuance process for the same order retrieves the existing invoice rather than creating another numbered invoice.

Invoice Number
Invoices use an annual numbering sequence in the format:

INV-YEAR-SEQUENCE
The invoice number is separate from the order number.

Recorded Information
An invoice includes the applicable:

  • issuer information;
  • customer billing and shipping information;
  • product descriptions and quantities;
  • prices and discounts;
  • tax amounts and treatment;
  • shipping charges;
  • currency and final total.

The invoice detail also identifies the associated order.

Document Creation & File Generation
The invoice record and its downloadable files are created in separate steps.

A file-generation problem can therefore leave an invoice recorded in MirandaPlace while its PDF or XML is unavailable.

A missing download does not necessarily mean that the invoice itself was not issued.

Viewing & Downloading Invoices

Open an order and locate its Invoice section.

When an invoice is available, this section displays its number, date, status, and total.

Use the available actions to:

  • open the invoice detail;
  • download the PDF;
  • download the XML, when generated and available.

PDF Invoice
The PDF provides the readable invoice document.

Its content is generated from the information preserved at issuance.

Changing a product price, customer address, or store detail later does not rewrite an already-issued invoice.

Customer Access
Customers can access available invoice PDFs through their order details in the customer area.

XML exports are intended for the merchant’s administrative workflow.

Preserved Documents
Issued invoices are transaction records rather than editable product or customer forms.

Document recovery uses the stored invoice information, preserving the original transaction instead of recalculating it from current settings.

FatturaPA XML Export - English

IMPORTANT: XML generation and export only — NO electronic transmission

MirandaPlace generates downloadable FatturaPA XML files. It DOES NOT electronically transmit invoices or credit notes to SdI, either directly or through Aruba or any other service.

You must submit the files yourself, through your own SdI transmission channel or by manually uploading and submitting them through your Aruba invoicing account.

Selecting a profile only configures the XML content: it does not establish automatic connections, upload files or transmit documents.

MirandaPlace can generate Italian FatturaPA XML files for invoices and credit notes when the store is configured with an Italian issuer.

Enable XML generation in the electronic invoicing section of Store Configuration. PDF generation is separate: disabling XML generation does not disable invoice PDFs.

Required Configuration
Complete the applicable issuer information, including company name, tax identification details, registered address, country, fiscal regime and VAT collectability.

Customer billing details and order tax information must also be complete.

For zero-rate entries, configure the appropriate Nature code and associated reference. MirandaPlace uses the recorded tax treatment; it does not determine the correct Nature code from the customer’s country or customer type. See Taxes & Coupons for configuration.

XML Export Profiles
Choose the profile that matches your transmission workflow:

  • Self transmission: the store is identified as the transmitter. Download the XML and handle submission through your own SdI channel.
  • Aruba – manual upload: Aruba is identified as the transmitter. Download the XML for manual upload to your Aruba invoicing account, then review and submit it there.

The profile applies to new invoices. Credit notes follow the profile recorded on the original invoice. Changing the current setting does not update previously generated documents.

Compatibility with other invoicing services depends on their import requirements; the available profiles do not guarantee compatibility with every provider.

Managing and Downloading XML Files

Open:

Store Configuration → Electronic invoicing → Manage and download XML

The XML manager brings invoices and credit notes together in one window. You can:

  • Filter by document date, document type, invoice or order number, customer and export status.
  • Display 10, 25, 50 or 100 documents per page.
  • Download an individual XML file.
  • Select documents across multiple pages and download a ZIP containing up to 200 documents, with a maximum combined XML size of 20 MB.

Selections remain when changing pages or the number of rows displayed. Applying different filters clears the selection.

XML Availability
The manager checks file integrity and XML validity before making a document selectable.

Documents marked XML not generated, File missing or Invalid XML remain visible but cannot be selected for export.

If required information is incomplete or validation fails during generation, the XML may be unavailable while the invoice record and PDF remain available. Correct the configuration for subsequent transactions; changing current settings does not rewrite historical invoices.

Export History
The history records prepared exports, including the administrator, date and documents included. You can download an export again while its original files remain available and unchanged.

To export means no export has been recorded for that document through this manager. Downloads made from individual order pages are not included in this history.

Already exported means the files were prepared for download. It does not confirm that they were saved on your computer, uploaded to a provider or submitted to SdI.

IMPORTANT: MirandaPlace DOES NOT send invoices to SdI

MirandaPlace generates downloadable FatturaPA XML files. It does not submit invoices or credit notes to Italy’s Sistema di Interscambio (SdI).

You are responsible for submitting the downloaded files through your invoicing provider or your own SdI transmission channel.

Selecting “Aruba – manual upload” only configures the XML for that workflow. It does not connect to Aruba, upload files or send invoices automatically.

MirandaPlace does not receive SdI receipts, track delivery or confirm acceptance.

Generating, downloading or marking an XML as “Already exported” DOES NOT mean the invoice has been sent to or accepted by SdI.

Esportazione XML FatturaPA - Italiano

  • Aruba – caricamento manuale: Aruba viene identificata come trasmittente.

Apri:

Configurazione negozio → Fatturazione elettronica → Gestisci e scarica XML

IMPORTANTE: MirandaPlace NON invia fatture allo SdI

MirandaPlace genera file XML FatturaPA scaricabili.

Credit Notes & Refunds

When a Credit Note Is Created
A verified refund processed through the withdrawal and return workflow generates a separate credit note associated with:

  • the refund operation;
  • the original invoice;
  • the corresponding case.

This includes supported online refunds and offline refunds recorded through that workflow.

Separate Numbering
Credit notes use their own annual sequence:

NC-YEAR-SEQUENCE
Their numbering is independent of invoice numbering.

Original Invoice
The original invoice remains issued.

The credit note records the adjustment as a separate document rather than replacing or rewriting the invoice.

A partial refund produces a document for the corresponding refunded amount.

PDF & XML
The credit note PDF is available from the case and is attached to the customer notification when successfully generated and sent.

Customers can also access their available credit note PDFs through the customer area.

When XML generation is enabled and the necessary information is available, MirandaPlace also generates a TD04 credit note export for the merchant.

Separate Operations
The following operations have distinct purposes:

Operation

Purpose

Refund

Records or executes the return of money.

Credit note

Documents the corresponding adjustment.

Stock return

Records the return of eligible physical quantities to stock.

Generating or retrying a document does not itself issue another refund or return products to stock.

See Withdrawals, Returns & Refunds for the complete operational workflow.

Storage, Delivery & Recovery

Private Document Storage
Invoice and credit note files are stored in MirandaPlace’s private storage, configured through Store Configuration.

Downloads are served through the appropriate administration or customer access controls.

Private document storage is separate from public product images.

Credit Note Delivery Status
The withdrawal or return case displays the credit note’s email delivery status and any recorded delivery error.

When delivery has not completed, the available retry action can retry document preparation and customer notification.

This does not repeat the economic refund.

Missing Invoice Files
If an invoice exists but a file is unavailable, check the private storage configuration and the reported generation errors.

Downloading a missing file does not itself regenerate it.

Keep the existing invoice record when investigating the problem; do not create another order merely to obtain a replacement document.

Backups
Include both the database and private document storage in your backups.

The database contains the document records and preserved transaction information, while private storage contains the generated downloadable files.

Checking the Result
After processing a representative order and refund, verify:

  • the invoice is linked to the correct order;
  • its PDF is available and readable;
  • the XML is available when enabled and applicable;
  • the credit note references the original invoice;
  • refunded amounts match the recorded operation;
  • customer document access and email delivery work as expected.
